Being straight with you about how we handle your information

Introduction

Look, we're gonna be real with you right from the start. Privacy policies are usually a snooze-fest full of legal mumbo-jumbo, but we're trying to keep this straightforward. At Pyrethorn Haven Logistics, we deal with a lot of info - shipment details, tracking data, customer records, you name it. Running temperature-controlled cross-border freight between Canada and the US means we've gotta stay on top of privacy laws on both sides of the border.

This policy breaks down what data we collect, why we need it, and what we're doing to keep it safe. We're not in the business of selling your info or doing anything shady - we're here to move your cargo from point A to point B, keeping it at exactly the right temperature along the way.

Quick heads up: By using our services or this website, you're agreeing to this policy. If something doesn't sit right with you, reach out to us at dispatch@pyrethornhaven.info and we'll talk it through.

What Information We Collect

Personal & Business Info

When you work with us, we're gonna need the basics - name, company details, phone number, email, billing address, and shipping locations. Without this stuff, we literally can't do our job. Can't send a truck to "somewhere in Vancouver," y'know?

Shipment Details

Every load we haul comes with specifics - what you're shipping, weight, temperature requirements (this is our bread and butter), hazmat classifications if applicable, pickup and delivery addresses, and timing. We keep records of all this because, well, that's logistics in a nutshell. Plus, regulatory folks want to see documentation, especially for hazmat and cross-border stuff.

Tracking & Telematics

Our trucks are rolling sensor arrays. We're constantly monitoring GPS location, cargo temperature readings, humidity levels, vehicle diagnostics, and driver hours. This isn't us being nosy - it's how we make sure your perishable pharmaceuticals don't cook or your frozen goods don't thaw halfway to Seattle.

Website Usage Data

Like pretty much every website out there, we collect technical info when you visit - IP address, browser type, pages you check out, how long you stick around. Nothing too invasive, just standard stuff to keep the site running smooth and see what's actually useful.

Payment Information

We need billing details to get paid - invoicing info, payment methods, transaction records. Most of the sensitive payment processing happens through secure third-party processors, so we're not sitting on your full credit card numbers.

How We Use Your Information

Service Delivery

Processing your shipments, dispatching drivers, maintaining temperature controls, coordinating cross-border customs, and basically doing what you hired us to do.

Communication

Sending you updates, delivery confirmations, answering questions, dealing with issues that pop up. We're not gonna spam you with marketing junk unless you've asked for it.

Compliance

Meeting Transport Canada regulations, US DOT requirements, customs documentation, hazmat reporting, and all the other red tape that comes with cross-border freight.

Improving Operations

Analyzing routes, optimizing fuel consumption, improving temperature control algorithms, figuring out where we can do better. Continuous improvement keeps us competitive.

Billing & Accounting

Invoicing, payment processing, handling disputes, keeping the books straight. Pretty standard business operations.

Safety & Security

Monitoring for security issues, investigating incidents, protecting against fraud, keeping hazmat cargo properly tracked and documented.

When We Share Your Data

We're not in the habit of selling your data to random third parties. That said, running a cross-border logistics operation means we gotta share info with certain folks:

  • Service Partners
Customs brokers, warehouse operators, last-mile delivery contractors, third-party carriers when we need extra capacity. Everyone's under confidentiality agreements.
  • Government Agencies
Canada Border Services Agency, US Customs and Border Protection, Transport Canada, DOT, and other regulatory bodies. Not optional - it's part of operating legally.
  • Technology Providers
Our tracking system vendors, cloud hosting services, payment processors. They only get what they need to provide their specific services.
  • Legal Obligations
If we get a valid subpoena or court order, we're sharing what we're legally required to share. We'll push back on overly broad requests, but we're not gonna risk contempt charges.
  • Business Transfers
If we ever sell the company or merge with someone else, your data would be part of that transaction. We'd make sure the new owner respects this policy or gives you notice of changes.

Cross-Border Data Transfers

Here's the thing about being a Canada-US cross-border carrier - your data's gonna cross that border too. Our servers are in Canada, but we work with US-based partners and customers. We've got shipments rolling through both countries daily, and the data follows along.

Both countries have different privacy rules. Canada's got PIPEDA (Personal Information Protection and Electronic Documents Act), while various US states have their own laws. We do our best to meet the stricter requirements of both, which usually means following the Canadian rules since they're generally more protective.

Important note for US customers: When your data comes into Canada, it's protected under Canadian privacy law, which gives you certain rights. When Canadian data goes to the US, we make sure our partners have adequate safeguards in place.

If you're shipping hazmat or other regulated goods, customs authorities in both countries get access to relevant shipment data. That's non-negotiable - it's literally required by law for cross-border movements.

How We Protect Your Information

We take security seriously because we have to. Losing customer data or shipment info would be catastrophic for our business, not to mention a regulatory nightmare.

Technical Safeguards
  • Encrypted data transmission (TLS/SSL for everything that hits the internet)
  • Encrypted data storage for sensitive information
  • Regular security audits and penetration testing
  • Firewalls and intrusion detection systems
  • Multi-factor authentication for system access
  • Regular software updates and security patches
Physical Security
  • Secure server facilities with restricted access
  • Locked filing cabinets for any paper records we keep
  • GPS-tracked and locked trucks for cargo security
  • Monitored warehouse facilities
Operational Security
  • Limited access - employees only see what they need for their job
  • Background checks on drivers and warehouse staff
  • Confidentiality agreements with all employees and contractors
  • Regular training on data protection and privacy
  • Incident response plan if something goes wrong

Real talk: No system is 100% hack-proof. We're doing everything reasonable to protect your data, but if there's ever a breach, we'll notify affected customers and regulators as required by law.

Cookies & Tracking Technologies

Yeah, we use cookies. Pretty much unavoidable these days if you want a functional website. Here's what we're doing:

Your Privacy Rights

Depending on where you're located, you've got certain rights about your data. Here's what you can do:

You can ask to see what personal information we've got on file. We'll provide it in a readable format within 30 days. There might be a small fee if the request is extensive, but we'll let you know upfront.

If we've got something wrong - old address, wrong phone number, whatever - let us know and we'll fix it. Actually, please do this because wrong delivery addresses cause headaches for everyone.

You can ask us to delete your data. We'll do it unless we're legally required to keep it (like for tax purposes, ongoing shipments, regulatory compliance). Can't delete records of hazmat shipments
